Limiting ticket sales per transaction or customer

This article explores ways to limit how many tickets can be purchased per transaction or per customer. Within Ticketsolve, you can limit the number of tickets that can be purchased either through a setting or a promotion code. The simplest way is to use the "max tickets per event" setting which limits the number of tickets that can be purchased in one transaction, per event. This is useful for high-demand events to prevent reselling and ensure equitable access to tickets for all customers. Using an exclusive access promotion code discount limits the number of tickets that can be purchased per customer rather than per transaction. 

Limiting tickets per transaction

The setting "max tickets per event" lets you limit the number of tickets that can be purchased in one transaction, but does not limit the number of tickets that can be purchased per customer. The limits per transaction can be set at Account Level, Subdomain, Program, Show and Event Level, with each setting overriding the previous settings. Event level settings are given priority over Show settings, Show settings are given priority over Program settings and so forth as shown below. 

  1. Account: Sets the limit for the whole account (all Subdomains, Programs, Shows and Events). 
  2. Subdomain: Sets the limit for the specific subdomain (all Shows, Programs, and Events within the subdomain) and overrides Account settings. 
  3. Program: Sets the limit for the specific program (all Shows and Events within the program) and overrides Subdomain and Account settings.  
  4. Show: Sets the limit for the specific show (all Events and dates and times within the Show) and overrides, Program settings, Subdomain and Account settings.
  5. Event: Sets the limit for a specific Event (date and time) and overrides all previous settings.

Setting the max tickets per transaction at Account level

To set limits on the number of tickets allowed per transaction for all shows and events:

Go to Settings > General Settings

1. In the Filter settings search box, search for "max tickets per event" and click to select.

2. Enter the 'number of Max tickets allowed per transaction' (default is set to 20).

3. Click the Update button.

 Important

Remember if you change the setting at Account or Subdomain level, that change will apply to every event within the Account / Subdomain (unless it has been or will be overridden at Show or Event level).

Setting the max tickets per transaction at Show or Event level

For high demand, highly sought after shows and events, you can limit the number of tickets that can be purchased in one transaction at the Show or Event level.

Go to Manage > Shows

1. In the Filter show search box, search for the Show you require and click to select. 

2. Click on the Settings tab.

3. In the Settings tab, search for the setting "max tickets per event" click to select the setting. 

4. In the pop-up box enter the 'max ticket limit number'.

5. Click the Update button.

Note: To limit ticket sales per transaction for a specific Event, find the Show and click on the Event date and time you require and then click the Settings tab to adjust the "max tickets per event" as per the steps above.

In the example above we can see the following:

  • Account level: The maximum number of tickets that can be purchased per transaction is 20. 
  • Show level: The maximum number of tickets that can be purchased per transaction is 6. 

Remembering that Show level settings override Account level settings, if a customer attempts to purchase more tickets for a show within one transaction than the Show level limit allows, they will get an error message:

It's important to remember that setting limits per transaction does not limit the number of tickets each unique customer can purchase. It only limits how many tickets can be purchased within one transaction. 

Limiting tickets per customer

You can limit the number of tickets each customer can purchase, per Show with Tag, per specific Event date and time, etc., depending on your requirements. 

To do this within Ticketsolve, you will need to

Create an Exclusive Access Discount and Set up the Rules

1. Create an Exclusive Access Discount, until you get to the the Rules set up steps. 

2. To set up the Rules for the Discount:

3. In the Discount you are setting up, click on the Rules tab (top of your screen).

4. In the When Customer...section click the + Add New button.

5.  In the pop-up, select Use promotion code from the dropdown menu.

6. Click the Save button.

7. In the Customer gets...section click on the + Add New button and complete as follows:

  • Select access type: Exclusive access to
  • in...: Select what the promo code applies to show, event, show with tag, etc.
  • Select Show, Run and Event: Depending on how you are setting the limits you may need to specify the Run or Event Date and Time.
  • Define Pricing: at any price.
  • Define discount amount: with amount off
  • Enter a number: 0.
  • Define discount limit: with purchase limit.
  • Enter the maximum number of tickets that can be purchased per customer: e.g., 2

Generating Promotion codes

Once you have created the Discount and set up the Rules, you need to generate Promotion codes. There are two options when creating Promotion codes:

Now you can distribute 1 Promotion code per customer. 

 Important

Purchase and Discount limits only work with unique promotion codes, or setting up a discount for a Benefit Product. If you have an Exclusive Access to Show Discount (e.g., with a Purchase limit of 2) and all customers given one generic code, the first customer to use that promotion code will be able to make purchase 2 tickets for that show, but no more tickets can be purchased with that code. Using unique codes, per customer, means all customers with a unique promo code can make purchases.

Example 1 - Limit per Show

1. When customer...Uses promotion code.

2. Customer gets... Exclusive access to > Show > 'Comedy Brunch' > With amount off 0 > With a purchase limit of 3.

For every promo code entered, 3 tickets for the Show 'Comedy Brunch' can be purchased. No more than 3 tickets per customer / code can be purchased for the specified show, even under a second transaction. 

Example 2 - Limit per Ticket Allocation

1. When customer...Uses promotion code.

2. Customer gets... Exclusive access to > Ticket allocation with tag > 'Companion Comp' > With amount off 0 > With a purchase limit of 1.

For every promo code entered, 1 ticket per Ticket Allocation with Tag 'Companion Comp' can be purchased. No more than 1 ticket per customer / code can be purchased from each tagged ticket allocation.
