One Auto Report Subscription can now be automatically sent to multiple recipients at once, without the need for creating a user profile and unique subscription for each recipient. All you need is their email address!
Select one User and a Saved Report to send
First, you will need one User profile (Users > Manage Users) to send to, and a Saved Sales Report (Reports > Sales Report) built with the required filters. Important
You will still need to have one User profile set up for each Subscription to send to, in addition to the extra email recipients. We'd recommend setting this a public organisational address, like a boxoffice@ email address, so you have visibility on all of the auto reports that are being sent out. Note that all recipients will be able to see the email address on the User profile when receiving reports.
Adding email recipients to the Subscription
Once you have one User profile and a Saved Report ready to go, you can now creat the Subscription for when and who the report will send to - this is where the steps change slightly with this multiple recipient upgrade.
1. Navigate to the Subscriptions tab from within your Sales Report view, or navigate to Reports > Subscriptions.
2. Click the Add New Subscription button.
3. In the pop-up fill in the standard subscription details as normal:
- User - select the user profile from earlier that you want to send the report to.
- Report - this will be greyed out and populated automatically based on the Sales Report you are currently in. Or if you're in Subscriptions, select the report e.g. Events Revenue.
- Saved Report - this is where you select the Saved Report that you built earlier with the desired filters.
- End Date - this is where you set the date you want the auto report subscription to stop. The furthest ahead this can be is 365 days from the day you create the report.
- Active Subscription - make sure this box is ticked (if it's not, the subscription you're creating won't be active and so the report won't send out).
- Schedules - here is where you add the time, day and frequency that you want the report to send out automatically. You can be specific here, for example 'Every Monday at 9am' or the 'End of the month at 5pm'. 4. You'll see that there is a new field called Other Recipients. This is where you can add in the email addresses of those who should receive the auto report (in addition to the main User profile). These email addresses will all be BCC'd into the subscription going to the User profile.
5. Type or paste in the email address of the recipient and press the Space / Enter bar to add it.
Important
Check and double-check the email addresses you are adding here are correct. Remember, you are sending financial and sales data to users outside of your organisation and are able to add any email address into this box.
- If the email is accepted it will be listed in grey.
- If the email address you've entered is in an invalid format (and so can't be sent to) it will be in red.
6. You can now repeat these steps to add as many email recipients to the report subscription as you wish. If you need to remove a recipient, click the X next to their email address.
7. When you have completed all the fields and added your email recipients, click Save to confirm the subscription.

You can add as many email (other) recipients to the Automated Report subscription as you want, meaning you can send one report to finance, marketing, and external promoters, all from the one subscription.
8. Once the Subscription is saved, it will send to all recipients (main User and all Other Recipients) on the schedule you have set. All Other Recipients will be BCC'd into the subscription sending to the User profile, meaning all recipients will see the email address associated with the User profile, but not any other recipient's email addresses.
