Merging Gift and Credit Vouchers

In this article, we are going to look at merging gift and credit vouchers. If a customer has multiple vouchers, you can use this feature to combine them into one, as it can become challenging to keep track of each one individually for both the customer and the Box Office.

By merging vouchers, you consolidate them into a single entity, making it easier to manage and track voucher usage and for the customer to spend them!

1. Go to Box Office > Vouchers.

2. To find the customer, you can use the search bar at the top of the page and enter any unique identifier taken from the customer at the point of purchase. This can be name, email address, phone number etc.

3. Once entered hit Search.

4. Pick out the vouchers you wish to merge from the list provided and click on the check box on the required row so it is ticked

 Notes

A voucher with the Gift label means that the customer listed has purchased the voucher as a gift for another person.

5. Once you have more than 2 selections made, you will now see a Merge Vouchers button appear in the bottom right corner of the page. Clicking on this button will open the merge window.

  • Click on the radio (circle) button on the row of the voucher you would like to merge into.
  • You will have 2 options to complete the merge:
    • Merge Only will just merge the vouchers.
    • Merge and Reprint will merge the vouchers and reprint a ticket at the Box Office with the new balance contained in it.

 Important

Merging vouchers is an irreversible action; they cannot be unmerged, so double-check before you hit that button!

That's it! The 2 vouchers are now merged into one, and the remaining voucher will show as a zero balance.

If you need to update the expiry date on the new voucher:

  • From the same Vouchers window, click the 3 dots (additional options) icon.
  • Select View Voucher. 
  • Click the Update expiry date button.
  • Select the new expiry date from the calendar.
  • Click Update to save.
