In this article, we are going to look at how to create an offer where you can limit the number of discounted tickets your customers can avail of on a specific promotion. E.g. 50 tickets for an event are available with 10% off when using a promo code.
This can be done easily by creating a discount that is associated with a size-limited ticket allocation on an event(s). This is a useful feature if you need to limit the amount of discounted tickets available to your customers for offers such as early birds, flash sales etc.
Creating a Ticket Allocation with a limited size
In order to limit the amount of tickets you want to be discounted for this event promotion, you will need to make a brand new Ticket Allocation that is set to the size of the number of tickets you want available for the discount. 1. Go to Manage > Show > Run > Event.
2. In the Master Allocations list (left column), click the ticket zone you need.
3. In the Ticket Allocations list (left column), click Add New + (upper left column) to create your new Ticket Allocation. For this example, let's call it 'Ticket50 Offer'.
4. Begin filling in the details of your ticket allocation. Be sure to name your allocation appropriately as if your Event has reserved seating, this name will be visible to customers online.
5. Set the size of this Ticket Allocation. This size is how many tickets will be available to purchase under the Discount for this event. In this example we want a total of 50 tickets available to be discounted, so we will set the size as '50'.
6. It is best to leave the Min size as 0 as we don't need to ring-fence tickets to be available in this allocation only.
7. If you would like to limit how long this Ticket Allocation is available at Box Office and Online, set the Effective From and Effective To dates.
The date set is effective from just after midnight. So if you have an Effective from date of 1 July and an Effective To date of 31 July, the ticket allocation will go on sale at 00:01 on 1 July and come off sale at 00:01 on 31 July (so if you wanted the allocation to be available throughout 31 July, the Effective To date would need to be 1 August). This is useful if you would like to limit how long the promotion is available to your customers.
8. Set the Allocation level to Public if it is generally available to all customers with the promo code, both Online and at Box Office.
9. Select the desired Pricing scheme you would like for this Ticket Allocation. For more information on setting up Pricing Schemes for events, read our full guide on how to create and manage pricing schemes.
10. When complete click Add Ticket Allocation to save your changes.
Create a Discount for your new Ticket Allocation
Now we have to create the Discount for your limited Ticket Allocation and the promo code your customers will have to use to access it.
Go to Manage > Discounts and click Add New + (top left panel) to add a new Discount:
1. Fill in the Name of the discount. For this example we'll call it 'Ticket50 Discount'.
2. A Start date and End date can be used to set when the Discount will start and end. (If you've set an Effective from date and Effective to date on your Ticket Allocation, the allocation will come off sale regardless of the discount's dates.)
3. Leave the Active discount? toggle to on (blue).
4. Click Save New in the bottom right corner.
5. Next, click on the Rules tab
In the When customer... section:
1. Click the + Add New in the When customer... section to begin configuring the rules.
2. In the Add new rule pop-up box, select Use promotion code from the dropdown menu. We will create the unique promo code your customers will need in a later step.
3. Click Save.
In the Customer gets... section:
1. Click + Add New in the Customer gets... section to start configuring the rules.
2. In the Select access type dropdown, select All.
3. In the Select item type dropdown, select tickets for.
4. In the in... dropdown, select ticket allocation.
5. Find your new Ticket Allocation by select the Show, Run, Event and Master Allocation from the dropdowns.
6. In the Select ticket allocation dropdown, select your new allocation, in this example the allocation named 'Ticket50 Offer'.
7. In the Define pricing dropdown select at any price.
8. In the Define discount amount select with percent off or with amount off.
9. Enter the percentage or amount discount you wish to give customers e.g., to give 10% off per ticket price enter '10%'.
10. Click Save.
Create your Promotion Code
1. Click on the Promotion codes tab.
2. Click on Add new promo code on the right side of your screen.
3. Select Manual input.
4. Type or paste your code into the box. Use commas or a line break to separate multiple codes. (Please note, codes are not case-sensitive and have a 16-character limit.)
5. Click Save.
Your Promotion Code Discount is now ready to go!
Don't Forget!
Ensure that the "discounts available" setting is enabled on Show or Account level in order for the Promotion Code box to be visible to your customers online.
Applying the Discount to multiple Ticket Allocations
The above steps outline how to create an offer for a single Ticket Allocation with a size limit on a single Event. However if you want to apply this Discount to multiple Events, you can set this up by adding a Tag to the Ticket Allocations and amending your Discount setup slightly.
Add a Tag your Ticket Allocations
1. Go to Manage > Show > Run > Event.
2. Click on the limited size Ticket Allocation you have created for the promotion.
3. In the Allocation tags field, type in the unique Tag you are using for the Discount set up. For this example, let's use 'ticket50'.
4. Click Update Ticket Allocation to save your changes.
Repeat the above process on all Ticket Allocations you want associated with your Discount.
Set the Customer gets... Discount rule for 'Ticket Allocations with Tag'
1. Click + Add New in the Customer gets... section to start configuring the rules.
2. In the Select access type dropdown, select All.
3. In the Select item type dropdown, select tickets for.
4. In the in... dropdown, select ticket allocations with tag.
5. Start typing and select the Tag that you have used across your selected Ticket Allocations.
6. In the Define pricing dropdown select at any price or select a different option depending on your requirements.
7. In the Define discount amount select with percent off or with amount off.
8. Enter the percentage or amount discount you wish to give customers.
9. Click Save.
