In this article, we'll look at how to process a Donation at Box Office. We'll also cover how to select and change a customer's Gift Aid Preference (UK users only).
Add the Donation to the Cart
1. First, make sure you are logged in and have joined a Sales Session if required.
2. In the Cart, add your Customer Record.
3. Go to the Products tab.
4. Find your Donation product and click to select it.
5. Select the donation amount or enter a custom value if available.
6. Click Update to add the item to the Cart.
Select Gift Aid Preference (UK only)
If you are in the UK and claim Gift Aid you'll now need to select the customer's Gift Aid preference. There are two options here:
- The customer already has selected a Gift Aid Preference of All future donations and any made in the last 4 years or All future donations and it's saved to their Customer Record. In this scenario, you can complete the transaction without needing to select a Gift Aid Preference (unless the customer wants to change it).
- The customer does not have a Gift Aid preference selected on their Customer Record or it was previously set to Cart only (this donation only). In this scenario, you won't be able to proceed with the sale until a Gift Aid preference is selected.
1. If you need to select a Gift Aid Preference, you'll see that the additional options (3 dots) icon is highlighted in red.
2. Click the additional options icon and select Gift Aid.
3. You'll now have a Gift Aid Preferences pop-up. There will be four options to choose from:
- All future donations and any made in the last 4 years
- All future donations
- Just today's donation
- I don’t want to gift aid
4. Once you've read out the Gift Aid declaration to the customer, select their Gift Aid Preference and click Save.
5. You'll now be able to proceed to the Payment Options screen and complete the transaction.
Changing Gift Aid Preference
Gift Aid rules state that customers can change their saved Gift Aid Preference at any time. We've added functionality within the Box Office so that when a customer calls, you can easily update their preferences.
To amend a customer's Gift Aid Preference:
1. Open the Customer Record (for example by loading the customer into the Cart at Box Office or by going to Search Customers).
2. On the Contact info tab scroll down to the section called Customer extras.
3. Here you will see a dropdown called Gift Aid Preference.
4. Click on the dropdown and select their desired preference e.g. "All Donations".
5. Click Update Customer to save.
