Setting up a hidden ticket levy across the entire account
Go to Settings > General Settings
1. In the search box type to find the setting called "Booking charges".
2. Click + Add new booking charge.
Fill in the following details:
1. Description. Give your booking charge a name.
2. Amount. Enter the levy amount to be added to each ticket price e.g., '1' to add on £1/€1.
3. Hidden charge? Tick this box to hide the booking charge. If ticked, the levy is automatically added into the ticket price: e.g., if you have a £1/€1 hidden booking charge, and the ticket is £50/€50, then the price will show online as being £51/€51.
4. Tags. Add the tag 'noskip' if you do not want this charge to be removed for benefit product holders.
5. Click Add.
6. Click the Update button.
You'll then see your new booking charge listed in the window.
7. To delete or edit your booking charge, click on the Additional Options icon (3 dots, far right).
Setting up a hidden ticket levy on individual ticket prices
Go to Manage > Pricing > Select your pricing scheme > Select the ticket price that you want to add the charge to.
Navigate across to the Settings tab and click the setting "booking_charges".
In the pop-up you can add your booking charge at the ticket price level. This works exactly the same as at account level, so first click Add new booking charge and then fill in the following:
1. Description. Give your booking charge a name (as this is a hidden charge, the name is for internal use only).
2. Amount. Enter the levy amount to be added to each ticket price, e.g., '1' to add on £1/€1.
3. Hidden charge? Tick this box to hide the booking charge. If ticked, the levy is automatically added into the ticket price: e.g., if you have a £1/€1 hidden booking charge, and the ticket is £50/€50, then the price will show online as being £51/€51.
4. Tags. Add the 'noskip' tag here if you do not want this charge to be removed for benefit product holders.
5. Click Add and then Update.
What does the customer see online?
With a hidden booking charge now in place, we can see how this works online.
For example, an event that uses a pricing scheme with €50 Full Price tickets, and €40 Concession tickets. . .
. . .appears to the customer online to have €51 Full Price tickets, and €41 Concession tickets.
And when a ticket is added to the cart, this booking charge continues to stay hidden within the ticket price.
Reporting on your hidden ticket levy
There are a couple of different ways to view booking charges in reports.
Using the Sales Dashboard
Go to Reports > Sales Dashboard
1. Select the filters for your report by choosing Program / Show / Run / Event, Tag and Event Dates and click Search.
2. Navigate across to the Charges tab and you will see your hidden ticket levy listed and the corresponding revenue.
Using Sales Reports
There are also several Sales Reports which will show booking charges.
Go to Reports > Sales Reports and select one of the reports below from the side menu.
- Daily Payments Reconciliation
- Daily Sales Reconciliation
- Accounts - Detail
- Accounts - Summary
Using Custom Reports
You can create a custom Your Report to see booking charges in any Line Item Facts report created.
Go to Reports > Your Reports
1. Create a custom report by clicking Add new report and filling in the details required and click Save.
2. In the Reporting View Menu (left side), click on Booking charges. Click on any of the filters at the top to see charges by Program, Show, Event or Day/Order type.
Excluding shows and customers with benefit products from the hidden ticket levy
To remove the booking charge from a specific show
1. Go to Manage > Shows > Select your show > Settings
2. Find the setting called "skip_per_ticket_booking_charges".
3. Tick the box to turn the setting on.
Now, the hidden ticket levy will be removed from all ticket prices for this show.
To remove the booking charge for customers with an active benefit product
(e.g., those in a Friends/Members scheme)
1. Go to Manage > Products > Select the benefit product.
2. Add the Tag 'skip_booking_charges' to product and click update.
Now any customer logged into their account who has this active benefit product will no longer be charged any booking fees, including any hidden ticket levies (unless you have tagged the levy with 'noskip' when it was set up).
