In this article, let's dive into the world of Pricing Schemes and Ticket Prices! Before you build a show, it's essential to create your pricing structure. In this guide we will show you how to set up all the different pricing options, whether it's a regular ticket, a special deal for concessions, or a group and family ticket.
How to build Pricing Schemes and Ticket Prices
Creating a Pricing Scheme
Before we create ticket prices for an event, we must first create a pricing scheme that the prices sit within. This is simply naming the group of tickets you're going to create.
First, click Manage > Pricing.
1. Existing pricing schemes are listed on the left side of the page. You can search for a specific pricing scheme by typing its name in the search field above the list.
2. Click the eye icon to view inactive pricing schemes, these will be in a grey text.
3. To add a new pricing scheme, click Add New+ above the pricing scheme listing, OR
4. You can use 'click here to create a new one' text in the centre of the page.
1. Enter the Name of the Pricing Scheme, this can be related to the show, to price bands or even just the cost of the ticket, such as 25/15, meaning £25 Full Price, £15 Concession. This can be useful if you will use the pricing scheme for multiple shows.
2. Click the Active pricing scheme? toggle to on (blue).
3. Add a colour if you want to.
4. Select Add.
Creating a standard paid Ticket Price
To add a new Ticket Price, click Add New+.
1. Give your ticket price a Name. This will be the name that customers will see online and your team will see within Box office. In the example below, we've used 'Adult'.
2. Click the Active Ticket price? toggle to on (blue).
3. Add your Price.
4. Select a Price type option from the dropdown. These won't be seen by customers but are used for reporting purposes. In this case for Adult use 'Full'.
5. The ticket price with the highest priority number will show at the top of the prices, in this example, we are going to add other ticket types so want the adult price to appear at the top so we have entered '10' and will enter a lower priority number for subsequent tickets prices.
6. Leave Group size at 1.
7. Add an optional Tag, such as 'Full' for full price. You can use this tag in reporting or if you want to offer discounts.
8. Click Update Ticket Price.
Creating a concession Ticket Price
A concession ticket generally covers students, seniors and unwaged, but you can clarify your ticket price to anything you want by adding in details in the description box.
To add a new Ticket Price, click Add New+.
1. Give your ticket price a Name. This will be the name that customers will see online and your team will see within Box office. In the example below, we've used 'Concession'.
2. Click the Active Ticket price? toggle to on (blue).
3. Add your Price.
4. Select a Price type option from the dropdown. These won't be seen by customers but are used for reporting purposes. In this case use 'Concession'.
5. The ticket price with the highest priority number will show at the top of the prices, in this example, we are going to add other ticket types that we want to appear at the top, so we have entered '9' here (and '10' on the ticket price we want to appear higher).
6. Leave Group size at 1.
7. Add an optional Tag, such as 'concession'. You can use this tag in reporting or if you want to offer discounts.
8. We'd recommend adding a Description into the field to detail what constitutes a concession ticket e.g. 65+. This will display online underneath the ticket price name.
9. Click Update Ticket Price.
Creating a Family or Group Ticket
To add a new Ticket Price, click Add New+.
1. Give your ticket price a Name. This will be the name that customers will see online and your team will see within Box office. In the example below, we've used 'Family of 4'.
2. Click the Active Ticket price? toggle to on (blue).
3. Add your Price (this is the total ticket price for all 4 members of the family).
4. Select a Price type option from the dropdown. These won't be seen by customers but are used for reporting purposes. In this case use 'Full'.
5. The ticket price with the highest priority number will show at the top of the prices, so enter a number in the Priority box to determine the order, with 99 being the highest and 1 being the lowest.
6. Enter 4 for the Group size or the appropriate number. This means when the ticket is purchased it will take that number of tickets from the allocation.
7. Add an optional Tag, such as 'family4'. You can use this tag in reporting or if you want to offer discounts.
8. We'd recommend adding a Description into the field to detail what constitutes a family of 4 ticket e.g. '2 adults plus 2 children'. This will display online underneath the ticket price name.
9. Click Update Ticket Price.
Ticket Price settings
In the Settings tab of each individual Ticket Price you can customise your individual price.
- "Booking charges": Here you can override the Account Level setting booking charge if for example your event does not have a booking fee or a different price to your usual charge.
- "Email note": The text set in the 'email_note' setting will feed through to the 'email note' section in checkout mailers (order confirmation emails).
- "Extras": This is a function that allows you to gather additional data about attendees of events such as other members of a group/family ticket, or a meal/drink choice.
- "Minimum tickets": A minimum purchase limit can be set here, for example if you enter 3, the customer will not have the option to purchase 1 or 2 tickets at that ticket price.
- "Price note": This setting adds a note into the {{price_note}} field on a ticket template.
- "Skip per ticket booking charges": Tick the box to 'true' to remove all per-ticket booking fees and charges on this ticket.
