Adding extra information to your shows helps your box office to quickly see important information while speaking to customers and can help prompt customers when they are booking online.
There are numerous ways to add extra information to shows on Ticketsolve. We've split them into categories below so you can find the right fit for your show. All of these can be used in conjunction with each other, so you can optimise the information presented to both customers and box office staff.
Comments - Displays in box office only
Instructions - Displays in box office only
Event Attribute - Displays online
Email Note - Displays online
Ticket Note - Displays online
Comments
Event Comment gives box office staff a small amount of extra information about an event to help when selling an event. A good example of this might be a run down of the event that box office staff can easily access and read out to customers. This only shows in the box office interface.
Adding Comments
1. Hover over the Event in Box Office, click on the Pencil icon to add a comment.
2. Add the text to the yellow box and press save.
3. The Pencil icon on the event will display a number that equals the number of comments attached to the event. The comment will show up underneath in the yellow box. You can add as many comments as you like, or delete comments that are no longer relevant.
Instructions
Instructions are used where you want to display concise, important information to the box office, maybe as part of the booking process. For example, you could add a reminder for the box office to ask customers about adding pre-bookable refreshments to their order. These Instructions are automatic and only show in the box office interface, so they don't require the user to open up the field as with the Comments above.
Adding Instructions to a Show
If you add the instruction to the show, it will apply to all events (times and dates) under that show. Please follow the steps below to add to a show:
1. Go to Manage > Shows.
2. Select the show and click on Settings.
3. In the box, search for "instructions" click it.
4. Add your instruction text and click Update.
Check it in the box office and you're done!
Adding Instructions to an Event
If you want to apply the instruction to just one time slot, follow these steps:
1. Go to Manage > Shows.
2. Select the show and date to which you would like to add an instruction.
3. Click on Settings tab.
4. In the box, search for "instructions" and click it.
5. Add your instruction text and click Update.
Event Attribute
Event Attribute displays additional information (location, type of show etc.) about an event online for customers. This information is displayed during the booking process and appears as text on the booking button.
Adding an Event Attribute
The event attribute is added to the event settings.
1. Go to Manage > Shows.
2. Select the show and date to which you would like to add the event attribute.
3. Click on Settings tab.
4. In the box, search for "event_attribute" and click it.
5. Add text and click Update.
You'll want to keep this short as there is a 20 character limit.
Email Note
The email note is allows you to add show or event specific information to the Checkout Mailer. These notes can be added at the account/programme level, or show or event settings (see below).
Note: Ensure that the email note merge field {{ order.email_notes }} is currently displaying in your checkout mailer, it should be there by default. However, if you are unsure, please contact a member of the support team and they can check for you.
Adding Email Note to a Show
If you add the instruction to the show, it will apply to all events (times and dates) under that show. Please follow the steps below to add to a show:
1. Go to Manage > Shows.
2. Select the show and click on Settings tab.
3. In the box, search for "email_note" and click it.
4. Add your text to the box and click Update.
Adding Email Note to an Event
1. Go to Manage > Shows.
2. Select the show and date to which you would like to add an email note.
3. Click on Settings tab.

Adding Email Note to the Account
1. Go to Settings > General Settings.
2. Search for "email_note" and click it.
3. Add text and click Update.
Ticket Note
Much like the email note, you can add a show or event specific note to a ticket; this can be done in the show or event settings. This will pull through onto the printed or e-ticket template within the {{ ticket_note }} merge field.
Adding Ticket Note to a Show
1. Go to Manage > Shows.
2. Select the show and click on Settings tab.
3. In the box, search for "ticket_note" and click.
4. Add your text to the box and click Update.
Adding Ticket Note to an Event
1. Go to Manage > Shows.
2. Select the show and date you to which would like to add a ticket note.
3. Click on Settings tab.
3. In the box, search for "ticket_note" and click.
4. Add your text to the box and click Update.
