Automated Email Alerts for Specific Products

In this article, we are going to look at how to automate Email Alerts for specific Product sales. If you have a fundraising campaign you want to monitor once it launches, limited-edition merchandise you need to keep an eye on, or maybe you want to track sales of your highest-value Patron membership. Whichever Product you want to receive updates on, Ticketsolve's Automated Email Alert feature enables you to get an email notification every time a particular Product is purchased so that you can keep track of your sales in real time.

Tag the Product

1. To do this go to Manage > Products and from the list click on the product you want to get email alerts for.

2. You need to Tag the Product as shown in the image below. In this example, we've added the tag 'prosecco'.

3. To create a Tag, just type it into the Tags box and press return on your keyboard. Remember that tags have to be one word, with no spaces. 

4. Click Update to save.

Create a new User profile

Email alerts are set up under a User profile, but you need to set up a new one specifically for this alert, as it will need to have a filter Tag added to it. 

 Important

Don't add a filter Tag to an existing User account as this will filter what the user can see when they log in.

To set up a new user account head to the Users tab > Manager Users.

Create a new user, by clicking Add New. 

1. Add a name (we suggest the product name), email address, username, and password. See here for more info on setting up a new user.

2. Ensure the Active user? toggle is set to on (blue).

3. Select the User role (it doesn't matter which as long as one is selected, as the user won't be logging in).

4. Add a Tag to the user account in the format of filter:producttag so in this example the product has been tagged with 'prosecco' so the user account tag is 'filter:prosecco'.

5. Click Add at the bottom of the page.

Set up the Email Alert on the User profile

1. To now set up our Email Alerts, navigate across to the Manage Alerts tab.

2. Find the alert called 'Each time an order containing an item with a tag matching the filter tag on the user is made' and toggle it to On.

3. Select Update Alerts to save.

The email address on the new User profile will now receive an email notification each time this a Product with the selected Tag is purchased.
