User Roles and access levels in Ticketsolve

Each user within your Ticketsolve account is assigned a specific user role. Each role, has different levels of access to Ticketsolve and different permissions (i.e., things they can see and do), within the system and your account. This allows you to restrict or grant access and actions within the system and your account, depending on each assigned role. In this article, we will explain each User Role and show the different navigation each role sees.

Overview

There are 6 user roles for the admin side of Ticketsolve, 1 user role for logging in only to the Check-in App and 1 external user option.

Role descriptions

Checkin

  • Access to the Check-in App for ticket scanning/entry only. This role does not give access to the Ticketsolve Box Office/Admin login.

Box Office

  • Basic functions to create and process sales for tickets and products.
  • See vouchers, carts and the Events Dashboard
  • Access to the Customer tab

Box Office Supervisor

  • All Box Office user access plus,
  • All Customer functions
  • View User Sales Sessions reports

Box Office Manager & Super

  • Full access to the Ticketsolve account
  • Access to sell Reserved and Agent ticket allocations (where applicable) 

Reports

  • Only access to the Reports tab.
  • No access to any other areas of the system, including Box Office or Manage.

External

  • Primarily for production companies to stay up-to-date on the performance of their show(s).
  • You can share login details with externals so they can sign in to your Ticketsolve account and view basic information relating to their show(s). 

External Users should have two Tags added to their User Profile:

1. Filter Tag (e.g. 'filter:jbproductions') that links to a Show Tag 

For example, if a producer wants to login to your Ticketsolve account, you would add a Tag to their Show such as 'jbproductions'. By also adding a Filter Tag of 'filter:jbproductions' to their User Profile, when logged into your account, the producer will only see information related to their show.

With this Tag in place, External users can only see an Events tab in the Box Office which lists the shows/events with the relevant Filter Tag:

2. Security Restriction Tag ('security:external_minimal')

External Users should also have the Tag 'security:external_minimal' to restrict the acccess of External users. Adding this tag limits what External users can see and means they will not have access to any customer details such as name, email, address and phone number via View / Print lists. It is important to use this tag to ensure you comply with GDPR. 

With both of these Tags in place, External users can/cannot:

  • Can view the Event Summary / Event Overview page only for Shows pertaining to them
  • Cannot enable or disable booking on events
  • Cannot view Orders, Reservations, Amendments and Payments.
  • Cannot run the Customer List and Attendance List.

Without the 'security:external_minimal' Tag, External users will be able to:

  • Navigate to the Event Summary to see:
    • Event Overview
    • Orders
    • Reservations
    • Amendments
    • Payments (they cannot click into individual orders to see the full order details). 
  • Click on View / Print Lists and run the Events Summary, Customer List and Attendance List reports for their viewable events.
  • Navigate to the Sales Dashboard, but only report on the Shows / Events under the filter show tag on their profile.
  • Disable or Enable booking on each event.
