Setting your Shows to go on sale automatically

In this article, we are going to look at the "onsale time" setting which is really convenient function where you can set your events to go on sale at a certain time. This is available at both Show and Event level meaning you can create a Show, with multiple Events in it, and then set a specific time for all the Events to go on sale in both your Box Office and online. If you need to set different onsale times for different Events, you can do that too. 

The auto onsale function works by auto ticking Enable booking? and List Online? both to on for an Event. It looks for whichever of those two settings is unticked and ticks them.

 Important

This function will only turn on the "Enable booking?" and "List online?" settings on, if they are not already. It will not turn any other setting on, or turn any currently enabled setting off.

This includes the "Online sales disabled?'" setting - if this has been toggled on, it will not be turned off by the onsale time setting, it must be done manually.

Setting the onsale time

1. First create your Show in the Manage > Shows tab. If you need a hand, check out our guide on building a Show.

2. Then, go to the Settings tab at either Show or Event level and click on the "onsale_time" setting.

 Important

If you want multiple events to go live at the same time, set the onsale time at Show level. For individual events, set it at Event level.

3. In the pop-up box select the desired date and time for the Show or Event to go on sale.

4. Click Update to save.

That’s it! Your show(s) will go live online within 20 seconds of the selected time. 

Listing options before the onsale time

Depending on whether you want the event to be viewable and bookable via Box Office before the onsale time, or not, then the below event settings will determine what you can/can't see:

Not bookable on box office or online

Enabled Booking - OFF
List Online? - OFF

This means that the event is not bookable on the Box Office, or online, until the onsale time.

Using this option, the show isn't listed online until the onsale time. If your site and Ticketsolve are synced via an XML feed you will need to consider clearing your site's cache at the time of the onsale so it appears on your own site at the same time it goes onsale. Otherwise, the show will not appear until the next time your site's cache is cleared (although this is fairly frequently usually).

Bookable on box office, but not listed online

Enabled Booking - ON
List Online? - OFF
This allows it to be booked on the Box Office end but won't appear online until the onsale time.

Using this option, the show isn't listed online until the onsale time. Not bookable on box office, listed online but not bookable

This allows it to be seen online but can't be booked until the onsale time. An automated message about when the event(s) will go on sale will appear. This will read as "Event goes on sale DD/MM/YYYY HH:MM", e.g. "Event goes on sale 26/12/2025 10:00". Here's what it will look like:

  • Hullo! If I want to be able to pre-book tickets (in this case, schools bookings) before the on-sale time, can I keep 'booking enabled' tick and still use the onsale_time setting, or will it not activate the online listing and booking if booking enabled is ticked?

    If I set the event to show but not book, there only seems to be the one message available - the Sold Out message. Surely it needs to use a second message - "Booking Opens Shortly" if it's to be properly useful.
    Can you get back to me about this perhaps?

    You can edit the SOLD OUT message to add whatever wording you like for this ?
