How to Search and View orders

You can use the Search Orders screen to get more details on orders processed through Ticketsolve.

Go to Box Office > Search Orders

The last 20 orders are automatically shown when you open Search Orders. Note that on this summary screen, you will also see labels against certain orders, alerting you to their status ('Amended', 'Printed', etc.).

Filter orders

To search for specific orders, you can use the Filters at the top of the screen and filter results by:
  • 'Customer name' and/or 'order number' using the Search orders box
  • Order type i.e., All, Outstanding, Reserved or Amended 
  • Date using the Most Recent calendar dropdown

Using a combination of the above filters allows you to further filter orders and do advanced searches.

View order details

The orders shown in the screen above are summaries only, giving you basic information such as Order Details (order number), Last Updated, Description (what was purchased, price, show date etc.), Customer Name, Total, etc.

To get more information about a specific order, you can:

1. Double click on the order line to get full details on the order by opening it up (Order summary, Customer info, Order history, Comments, etc. See View order below for more information. 

2. Single click on the order line to get a pop up with more information about the order, as well as extra functions (menu on the right of the pop up). These functions include:

  • View order - full order information including, price, discounts, payment summary and tabs for Order summary, Customer info, Order history and Comments.
  • Amend order - opens box office so you can make amendments, refunds, add tickets, products, discounts, etc. 
  • Print functions (more details on each of these can be found below). 
    • Print Manual print
    • Custom print
    • Print summary
    • Manual print summary
    • Print preview 
    • Manual print preview

Note: The image below is for an order that has not been printed. If the order has been printed, there would be fewer options; however, you can click Mark as unprinted, and the print options will reappear.

View order

Selecting to View order opens the order giving you four tabs (along the top of your screen) - Order summary, Customer info, Order history and Comments. 

  • Order summary tab - gives you details on item(s), purchased, price, quantity, discounts, total, etc., as well as: 
    • Payment summary information including payment type, details, date, time, amount, and any payment outstanding.
    • Information on who created the order, where and when is along the top of the screen under the order number.
    • On the right of your screen you find a submenu with options to Amend the order, Print or Resend Confirmation.
    • Clicking the + More Actions dropdown allows you to:
      • Send an Email note to the customer
      • Show invoice as DOC (gives you a downloadable invoice)
      • Mark order as fulfilled or unfulfilled

  • Customer info tab - gives you detailed information on the customer, including address, email, telephone number, etc. There are additional tabs here including:
  • Order history tab - gives you the full information on the history the particular order, including the original order information, any amendments, and the current effective order. These are all timestamped and dated.

  • Comments tab - any comments or specific information relating to this order.

Amend order

Selecting Amend order will bring the order back into the box office so that you can make amendments, such as remove tickets or products, add tickets or products, process a refund, add discounts, etc. For more information on amending orders click How to amend and refund orders or How to amend orders with payments over 180 days old.

Print options

There are several print options within the View orders pop up to help you manage printing.

Print - automatically sends the order to the printer.

Manual print - gives you a PDF download of the order.

Custom print - allows you to chose what information gets printed, for example, if you only wanted to print the ticket and not the customer address or receipts.

Print Summary - gives you a one ticket summary of the order, as opposed to Print, which gives you all the tickets in the order. 

Manual Print Summary - gives you a PDF summary of the order.

Print Preview - allows you to view the item to be printed. 

Manual Print Preview - gives you a preview PDF of the order.

In order to undo any print options you have selected. In the pop up, you can click Mark as unprinted, and the print options will reappear.
