In this article, we will take you through the Box Office and Products tabs in Ticketsolve. In the Box Office, users can see what Events are coming up in the listings page, the show description, check ticket availability, see recommendations, as well as any Products that are available.
Events tab
To view Shows / Events that are on sale, go to Box Office > Box Office.
The default view is the Events tab; the second tab is the Products tab - both tabs are clickable. You will also see the Cart to the right of the screen.
In the Events tab you can:
1. Search: By event name, show tags, or venue.
2. View: All upcoming Events.
3. Filter: Using the Calendar dropdown you can view Events in the future or past using a date / date range.
4. Sort: Events listing page by Date / Time, Availability or alphabetically (A-Z).
5. See Event overview: You can view basic information such as Show name, Date and time, Venue and venue layout, as well as labels indicating if an Event has allocated seating (i.e., has a seating map to select seats), sold out, has recommendations etc.
6. Check ticket availability: The availability bar is a visual overview of ticket status for the Event and is shows the ticket status breakdown by colour:
- Available (green)
- Reserved (light green)
- In Carts (orange)
- Sold (red)
1. Hover your mouse over the ticket availability bar. This will display the View Tickets button and 4 clickable icons:
2. ? icon (Event details): Expands the Event section for more information on the Event including, Show image, Show description (if there is one), Show tags, Running time, Opening time, Detailed ticket availability bar.
3. Pen icon (Comments) - View or add comments on the specific listing.
4. Clock icon (Waiting list) - Opens a pop-up where you can add customers to the Waiting list or manage existing wait list customers.
5. Calendar icon (Event summary) - Opens the Event overview which shows you how your event is performing with details on Revenue, Orders, Reservations, Current carts, and Payments. You can also view this page via the Events Dashboard (go to Box Office > Events Dashboard).
Viewing Event details
To view more details about a specific Event, click anywhere on the Event section to expand the listing (click again to collapse). The expanded section will reveal:
- Show image
- Show description (if there is one)
- Show tags
- Running time
- Opening time
- Ticket availability bar with more details on tickets including:
- Total tickets (Master allocation size)
- Tickets available
- Tickets reserved
- Tickets in carts
- Tickets sold
- Tickets blocked
Ticket availability
Ticket availability displayed in both ticket availability bars show an overview of availability. They will not distinguish between tickets available in Public ticket allocations vs tickets available in any other allocations like Box Office, Reserved or Agent.
In the pictured example we can see:
- 299 total tickets: Total number of tickets / seats according to the Master allocation size (includes, sold, reserved, blocked etc).
- 283 tickets available to sell: Across all ticket allocations.
- 0 tickets reserved
- 0 tickets in carts
- 6 tickets sold
- 10 tickets blocked: i.e., 10 seats are blocked
To see the Ticket allocations available (public, agent etc.), click the View Tickets button on an Event (hover over the ticket availability bar). The pop-up will show you the various Ticket allocations as well as a seating map (if it is a seated event). In the pictured example we can see:
- 78 tickets available in an assigned Agent allocation
- 27 tickets available in an assigned Reserved allocation
- 178 tickets are available for the Public allocation and general sale
The tickets available for the general sale are taken from the total tickets available for sale minus other allocations:
299 (total seats) - 6 (tickets sold) - 10 (tickets blocked = 283 (available for sale)
283 - 78 (Agent allocation) - 27 (Reserved allocation) = 178 (available for General Sale / Public Allocation).
Important
Box Office Users should always click View Tickets to confirm the availability of tickets for General Sale vs tickets available in other allocations like Comps, Reservations or Agent tickets.
Recommendations
Events with Recommendations will have a 'Has Recommendations' on the Box Office listings page. Ticketsolve's Recommendations feature is great way to help Box Office Users cross-sell relevant Shows and Products to customers at the point of purchase.
To view Recommendations for an Event:
1. Click on the 'Has recommendations' label in the Event listing.
2. The pop-up will show the Recommendation options.
3. Clicking a recommendation option gives you an Event or Product list for just the selected recommendation where you can add the item(s) to the Cart. For more guidance check out our guide on how to cross-sell using Ticketsolve's Recommendations feature.
Products tab
The Products tab shows all the Products available for sale via the Box Office and online. Products in Ticketsolve include:
- Regular products (merchandise, meal deals etc.)
- Vouchers (gift vouchers etc.)
- Donations
- Benefits (Memberships, VIP etc.)
- Packages
- Streams
Products are a great way to upsell your Event with merchandise, gift vouchers and add-ons such as cloakroom, amendment or refund fees, parking etc. Donations and any Benefit products (memberships) available for sale are treated as Products in Ticketsolve.
1. Click on the Products tab to view all available Products.
2. To search, enter the Product name or description in the search bar at the top of the screen.
3. To filter by Product type click the All product types dropdown to select a specific Product type.
4. Click on a Product to open a pop-up to add the item to the Cart.
