Start or Join a Sales Session

A sales session within Ticketsolve is a session that a user can join and once joined, all ticket and product sales are recorded against that sales session. Users are then able to easily report on each individual sales session to see what was sold, how much money was taken, and what payment types were used. On an account, Sales Sessions can be set to optional or mandantory.

Joining a Sales Session

In the login screen, add your login credentials and just under the Role and Location drop-downs, you will see an option to Start or join a sales session.

Tick that box to start or join and then click Login

You can then select from the dropdown box to either:

  • Start a New Sales Session - you would want to do this at the start of each shift.
  • Join Existing Sales Session - you would want to do this after a break on the same shift.
  • Skip joining the session - only click this if you don't want to join a session! (This will only be possible if joining a Sales Session is set to Optional on your account).

Viewing and exiting an existing Sales Session   

Once you are logged in, you will be taken to the Box Office view. You can then view or exist the session using the following process:

1. Click the Ticketsolve logo on the top left of the screen to open up the nav bar, and then click on Currently in session at the bottom left of your screen.

2. This will show all current user Sales Sessions. Find your username, login time, and date - this is your current session.

3. To stop your session at any time click on the red Exit current sales session at the bottom of the dropdown.

4. Once you click this, a pop-up will ask you if you would like to generate a report for this sales session.

  • If you click on Yes your sales report for this session will be downloaded to your computer.
  • If you click on No and you do not want a copy of your session report straight away, the report will still be available at a later date or time to view/download/print via the Users tab.

Logging out without ending a Sales Session

If you want to leave your Sales Session temporarily, for example, when taking a break, you can just log out of the Ticketsolve system.

1. Click on the Ticketsolve logo to open up the left-hand nav bar.

2. Click the red door icon.

This will log you out of the system but keep your Sales Session active until you return.

To then resume the same session after your break, you can log in, making sure to tick Start or join sales session and select Join existing after using the drop-down menu to find your name/original Sales Session.

Reporting on Sales Sessions

Sales Session reports provide useful information for balancing your takings at the end of your shift, as well as giving you a breakdown of what you have sold throughout the day including donations, products and booking fees. If you select 'no' when confirming you are ending your sales session you can still access the Sales Session Report information. Note: To access this a user must be Box Office Supervisor or above.

To access this you need to navigate to User > User Sales Sessions.

You will then see a calendar with all of the past and current Sales Sessions displayed. 

Select your session from the date and by clicking on that session you will open the Sales Session Summary.

The Sales Session Summary contains the Sales Session Summary, Payments Summary and Line Items Summary. You can also select Print report to download the report to CSV or PDF.

Setting if Sales Sessions are optional or mandatory

Sales sessions can be set up as mandatory so that every user who logs into the system must join a sales session before they can any tickets or products to a cart. 

First, go to Settings > General Settings.

Search for the "Sales session optional" setting.

  • Tick the box to make Sales Sessions only optional (users can process sales without joining a session).
  • Untick the box to make Sales Sessions mandatory (users must join a session to process a sale).
