There are several different ready-made Sales Reports that list the total capacity of an event against the number of tickets sold and available. These are:
- Accounts - Detail
- Accounts - Detail by Event and Ticket Price
- Event Settlement
- Sales Dashboard
Capacity is calculated from the total venue size (Master Allocation on the event). On allocated / reserved seating events, the total capacity count includes any seats that have been blocked.
Accounts - Detail report
The Accounts - Detail report is found under Reports > Sales Reports and allows you to report on the total capacity of events by date. It also includes details on the quantity of tickets sold, reserved and available, alongside the value, net and tax of sales, fulfilment products, booking fees / charges and add on products. The report is run by Program, Show, Run or Event, and by an Event date range if required. As a minimum, a Program will need to be selected.
The first section of the Accounts - Detail report will display the total venue capacity, along with data on tickets sold, tickets available and revenue information.
Accounts - Detail by Event and Ticket Price
The Accounts - Detail by Event and Ticket Price report is found under Reports > Sales Reports and goes more in-depth than the Accounts - Detail. It details the total venue capacity along with total tickets booked and revenue, and additionally the percentage % of the total venue capacity that is booked. Note that this report doesn't include reservations.
You can filter this report by event date range, or by Program, Show, Run or Event.
The first section of the report details the total venue capacity along with quantity of tickets booked, and the % of the total venue capacity that has been booked.
You can also see the quantity, revenue and percentage % of total venue capacity are paid tickets (non comps).
The Accounts - Detail by Event and Ticket Price report additionally gives a breakdown of the booked ticket types into full, concession and comp ticket types. Here, you can see the quantity, revenue and percentage % of total sales attributed to each ticket type.
Event Settlement
The Event Settlement report is found under Reports > Sales Reports and will provide you with a breakdown of event(s), detailing the total capacity against the total number of tickets sold, reserved, and available. It also contains the values of tickets reserved and sold; the gross and tax, credit card charges, and the amount paid and amount due.
The report is run by Program, Show, Run or Event.
The first section of the Event Settlement report will display the total venue capacity, along with data on tickets sold, tickets available and revenue information.
Sales Dashboard
The Sales Dashboard is found under Reports > Sales Dashboard. Whilst it's primarily used for a quick view on sales figures, it can also be used to report on capacity for an event. It details the total venue capacity along with total tickets booked, reserved and available. Additionally it details the percentage % of the total venue capacity that is booked and reserved.
You can filter the Sales Dashboard by event date range, or by Program, Show, Run or Event, or by event date range. Once you've added your filters, navigate to the Capacity tab.
