Selling Event Hub items at the Box Office

In this article, we'll walk through how to sell pre-orders and event add-ons through Event Hub at the Ticketsolve Box Office (Admin). If you're not familiar with Event Hub, first read our Introduction to Event Hub guide and our walkthrough on How to Set Up Event Hub.

Selling Event Hub add-ons at Box Office

When an Event has items available for sale through Event Hub, an "Add-ons" label will be visible in the event list. You won't be able to click the label until you've added tickets to the cart for that Event.

To sell Event Hub items at the Box Office:

1. Add tickets for the Event to the cart. The Add-ons label will now be clickable from the event listing and the cart.

2. Click either Add-ons label to load the Event Hub pop-up modal.

 Important

Ensure you add items via the Add-ons label Do NOT add items you want to be linked via Event Hub by going to the standard Products tab at the Box Office. Adding items to the cart this way will add them as regular items that are not linked to the Event.

3. You'll then be able to view the available Products for that Event, switching between the available Contexts (A) and Product Categories (B).

4. Select the required products. You can move between Contexts and Product Categories to select items - you'll see an indicator next to each category displaying how many items are selected in it.

5. Click Update Cart when all items have been selected to add them to the cart.

6. You'll now see all the Products in the cart listed underneath the Event tickets. There will be a label next to each item indicating the Context that it has been selected for (if applicable).

In the example below, we can see that there are items to be collected both Pre-Show and during the Intermission:

7. To amend the Event Hub items in the cart click on either the Add-ons label or the Context label next to the item. The pop-up modal will load so you can add/remove items from each Context.

8. You can now proceed to the Payment Options screen and complete the order as normal. 

Viewing Event Hub items in an order

1. Go to Search Orders and click the 3 dots to load the preview, or click View Order to open the Order Summary. In here you'll see:

  • A - the Product Name e.g. 'Kid's Snack Box'
  • B - the Event that the product is linked to e.g. 'The Magic of the Greatest Show'
  • C - the Context that the product was purchased for e.g. '@Intermission'

Amending Event Hub orders

Switching item Contexts in an order

Once an order has been placed, you can change the Context that any items are under e.g. switching an item so that it's for collection Preshow instead of in the Intermission.

1. From the Order Summary click the blue hyperlinked button with the Event name and Context listed e.g. 'The Magic of the Greatest Show @ Intermission'.

2. A side bar will load with the item's name, linked Event and the associated Context.

3. Click on the Context and select the desired one from the dropdown.

4. Click Save to update.

In this example, you can see we've switched the Kid's Snack Box from the Intermission Context to the Preshow Context: switch context on order summary.png

Amending the Event Hub items in an order

If you want to add or remove Event Hub items entirely from the order, you will need to select Amend to open the order up in the Box Office and amend the items as normal, following the steps above to add or swap Event Hub add-ons. To remove an Event Hub item, you can also select the dustbin icon next to it in the cart.

Exchanging tickets when they have linked Event Hub items

If you need to exchange tickets in an order which has Event Hub add-ons linked to it, when you remove the tickets from the cart, all attached Event Hub items will also be removed from the cart - even if you are exchanging tickets for the same event. You'll see a warning pop-up confirming that the add-on products will also be deleted.

To re-add the Event Hub items, follow the steps above and refer to the original cart on the right-hand side of your screen.

Linking a Product in an Order to the Event

If an order has been processed with Event tickets and a Product, but the Product was added as a regular item and not via the Event Hub add-on option, you can amend the order to link the items.

1. Find the order and open it to Amend in the Box Office.

2. Remove the unlinked Product by clicking the dustbin icon.

3. Click the Add-ons label next to the Event tickets in the cart to load the Event Hub pop-up.

4. Now select the desired Context for the item, find it in the Product Category and add it.

5. Click Update Cart to save. You'll see now that the Product in the amending cart has a label indicating it is linked to a Context e.g. 'Preshow' rather than just the Regular Product label.

6. Proceed to the Payment Options screen and complete the amendment as normal. We'd recommend ensuring that you send the new confirmation email as the customer will need their new confirmation email stating which Context to collect their item in.

7. If you return to the Order Summary, you'll see the Product is now linked to the Event, displaying the Product Name, the Event that the product is linked to and the Context.
