Tracking Event Hub sales is key to understanding your secondary revenue and ensuring everything runs smoothly on event night. There are three places to report on Event Hub sales:
- Event Dashboard - Purchases Tab: Reports on Event Hub products sold for a specific event
- Event Hub - Sales: Reports on Event Hub products sold by event date
- Event Hub Product Sales Detail: Reports on Event Hub products sold by sales date
These sales reports will help you prepare your stock requirements, bar teams and cafe/dining departments across multiple events. The sales reports Event Hub - Sales and Event Hub Product Sales Detail let you create automated reports on Event Hub sales.
How to track Event Hub sales in the Events Dashboard
1. Navigate to the Event Summary within the Events Dashboard by finding the event listing in Box Office and clicking the calendar icon.
2. Go across to the Purchases tab.
3. You'll see all add-on items attached to this event listed here:
- Order number (also hyperlinked)
- Product name
- Context the item is to be collected within
- Ticket Zone/Master Allocation name (handy if you have multiple seating zones and a bar at each)
- Customer name and email address
- Product price
- Collected toggle (blue if the item has been scanned or manually marked as collected, grey if it hasn't)
4. From this Purchases tab, you can Filter the listings by:
- Customer name
- Context
- Collected status
This option is handy for scenarios like if you want to view only the items you need to get ready to be collected in the Preshow context or get a quick view of how many items are still uncollected.
To remove filters, click the X Reset button.
5. You can also manually mark items as collected by moving the toggle to blue or mark them as not collected by switching the toggle back to grey.
6. Finally, you can download the list to your device as a CSV. This is handy if you need to print out the list to distribute among FOH or bar staff. Note that the CSV will be the full list of items; any filters on the list won't apply to the CSV.
Event Hub - Sales
The Event Hub - Sales report allows you to track products bought through Event Hub across multiple events. You can filter for events within a date range, filter by program/show/run/event, and filter by product tags.
The report will have a list of filtered events that have Event Hub sales against them. (Note: if an event has no Event Hub sales, the event will not appear in the report). Each event will have Orders Details and a Summary.
The order details are a list of each Event Hub product sold against that event, alongside the product is the order number it belongs to, the customer number, name and email, the context, the value and the quantity.
The summary gives you a breakdown of sales by product and context, as well as a total quantity and value.
How to run the Event Hub - Sales report
The report contains the following filters:
- From: The date of the first event you are filtering from
- To: The date of the last event you are filtering to
- Program/Show/Run/Event: You can leave these filters set to 'All Programs' to include all events within the from/to date range. To filter for events in a specific program/show/run you can use these filters.
- Product tag: If left blank, the report will include all products sold through Event Hub. You can filter by a product tag to report on specific product sales, e.g. you can filter for products tagged preshow_dining to look at meals sold for each event.
To run the report:
- Go to Reports > Sales Reports > Event Hub - Sales so you are on the report's filters page.
- Select the report format you would like to view/download the report in. The options are:
- HTML: this will open the report in a new tab in your browser.
- CSV/PDF/XLS: any of these options will download the report in your selected file format. - Fill in the filters for the events/products you wish to report on.
- Click Generate report - this will open/download your report.

Don't forget that you can also automate these reports! Automating the Event Hub - Sales report could be handy for the bar to see the quantity of products sold for each event within the coming week, or for the kitchen to see the number of pre-show meals that have been sold.
Event Hub Product Sales Detail
The Event Hub - Product Sales Details report enables you to report on products sold via Event Hub based on the sales date, regardless of which event they are linked to.
The results include a line per product sold, alongside the product's price, discount and total, order number, order date/time, the event the product is linked to, the context, and customer details.
There is also a total for the 'price' and 'total' at the bottom of the report.
How to run the Event Hub Product Sales Detail report
The report contains the following filters:
- From: The date of the first sale
- To: The date of the last sale
To run the report:
- Go to Reports > Sales Reports > Event Hub - Product Sales Details so you are on the report's filters page.
- Select the report format you would like to view/download the report in. The options are:
- HTML: this will open the report in a new tab in your browser.
- CSV/PDF/XLS: any of these options will download the report in your selected file format. - Fill in the filters for the events/products you wish to report on.
- Click Generate report - this will open/download your report.
