Automations: Send a Custom Pre-Event Alert based on Show or Event Tag

The Event Alert by Tag Automation sends email reminders to customers who have tickets for shows or events matching a specific tag. This enables targeted pre-event communications without affecting all events in your account.

Use cases of this Automation include:

  • Custom content – send a pre-event alert with wording that’s specific to certain shows or events, rather than using your account-wide pre-event alert
  • Custom schedule – you want to send a pre-event alert with a different lead time for certain shows or events only, unique from the schedule of your account's pre-event alert
  • Additional reminder - send an extra pre-event alert for certain shows or events alongside your account-wide pre-event alert
  • Event Hub - send two pre-event alerts to promote Event Hub pre-orders at different intervals, for example, 7 days and 24 hours before the event

Differences from the standard Pre-Event Alert Automation

The Event Alert by Tag Automation works in the same way as the Pre-Event Alert Automation. Here’s how they compare:

Pre-Event Alert

  • Scope: A single reminder email based on a fixed email template that can be enabled at account, programme, show, and event level

  • Send time: Sends at a fixed lead time before the event, set at account level only

Event Alert by Tag

  • Scope: A single reminder email based on a custom email template that sends based on the Tag on the relevant show or event
  • Send time: Sends at the custom lead time specified in the automation

How to set up an Event Alert by Tag Automation

Create your email copy in MJML

Before you create your automation, you should have your email copy and subject line ready. This will, of course, be dependent on the event and what you want to communicate.

Since this Automation functions similarly to the Pre-Event Alert, you can reuse the Pre-Event Alert MJML template and simply add in your custom copy.

Create your email template

1. Go to Settings > Templates

2. Click Add New to create a new template

3. Give your template a name – be sure to name it clearly and specifically, so it’s obvious to all system users what it is for. This is especially important the more automations you build.

4. Click Add to save your template.

5. Enter your subject line and email content into the MJML tab and click Update.

 Subdomains and Locales

Subdomains: This automation is not Subdomain aware, meaning it will be styled based on the Look and Feel settings of your main account.

Locales: This automation is Locale aware, meaning customers will receive the email in their chosen language, provided you create a template for each locale.

Tag your shows or events

You’ll need to add a Tag to your relevant shows or events – the automation will use this to filter the alert to specific customers who have booked for those events.

1. Navigate to Manage > Shows (and into Runs > Events if you want to only apply the Tag to specific events, not a whole run).

2. In the Show/Event Tags box, type or find the Tag you want to use and press the Enter button on the keyboard to add.

3. Click Update Show to save.

Create your automation

Now that you've created your automation template and tagged your show or event, you can create the automation.

1. Navigate to Manage > Automations

2. Open the New Automations tab.

3. Find the automation called Event Alert by Tag card and select New Automation.

4. Configure the key details of your automation:

  • Automation Name – name your Automation so it’s clear to all system users what it is
  • Event or Show Tag – search for and select the Tag you applied to your chosen shows or events
  • Email Template – select the template you created in the previous step
  • Minutes Before Event – decide how many minutes before the event start time you want the email to send, e.g. enter '1440' to send 24 hours before the event
  • Skip Tag (optional) – if you want to prevent the automation from sending customers with a specific Customer Tag, search for and select the Tag here
  • UTM Parameters (optional) – if you want to track engagement and conversions using UTM parameters, you can add them here

5. Once configured, click Save.

Enable your automation

Once saved, your new Automation will appear in the Manage Automations tab.

The final step is to click Enable, and the Event Alert by Tag Automation will start running.

 Important

The Pre-Event Alert and Event Alert by Tag Automations run concurrently. If you want the Event Alert by Tag automation to replace the Pre-Event Alert for specific Shows and Events, you’ll need to disable the Pre-Event Alert in the settings of those shows and events; otherwise, both alerts will send.

Repeat the steps above with different show or event tags to accommodate as many different workflows as you need.

How to edit your automation

If you want to pause or edit your Event Alert by Tag Automation:

1. Navigate to Manage > Automations.

2. Locate the automation from the cards.

3. To pause your automation, simply click Disable.

4. Or to edit your automation, click the Ellipsis (3 dots) and select Edit parameters.

5. You can update the Product, Email Template, and Schedule. The only element you cannot change is the Automation Name.

6. When you've completed your update, click Save.

Using tags effectively

Show and event tags

  • Show tags - use when all events in a show need the same alert

  • Event tags - use when only specific events need the alert

Skip tags

Skip tags let you avoid sending the alert to customers with a specific tag. For example, you could use skip tags to exclude:

  • Staff and crew

  • Complimentary ticket holders

  • Customers who opted out of reminders

  • Press and media contacts

Troubleshooting

Emails not sending as expected? Check the following:

  • Automation is active – ensure the automation has been enabled in Manage > Automations
  • Tag is applied  – confirm the correct tag has been applied to the relevant shows and events
  • Lead time – the lead time must be set in minutes as a numerical value
  • Event is bookable – only bookable shows and events are included in the automation
  • Already received – the automation will only send to a customer once per event
  • Skip tag – customers with skip tags will not receive the alert
