PRS and VAT Breakdown Report

In this article, we'll take a look at the PRS and VAT breakdown report available in Ticketsolve's Your Reports. This report will give all of the data you need to fill in PRS returns, including event date, time, ticket price, quantity sold, maximum capacity, and VAT rate. Plus, it's also handy if you're looking for a VAT breakdown by ticket price and quantity sold across different VAT rates.

Create the report

To build this report, go to Reports > Your Reports.

Click Add new on the right of the screen and select Report

1. Type the Name of your new report. It can be useful to also put in a description so you know what the report is for when looking at it in the future.

2. For Report type select Line Item Facts View.

3. Click Save.

Add filters to your report

1. You'll need to add filters by clicking Add New. You can add whichever filters you want here, but most likely you'll want to be filtering the report to include events within a date range.

For example, if we wanted to run a report for all events between 1 November 2021 - 31 January 2022, we would:

  • Add one event day filter, and set the date to is after or on > 1 November 2021
  • Add a second event day filter, and set the date to is before or on > 31 January 2022.

2. Once you've added your filters, you’ll find the VAT breakdown by going to the Pricing Reporting View and across to the tab called by Event by ticket price by VAT breakdown.

In this tab, you’ll find your data is split by:

  • Event date & time
  • Ticket price(s) name
  • Maximum capacity
  • Ticket price(s) value
  • VAT rate
  • Revenue
  • Quantity tickets sold

From here, you can click to Download the data in CSV format.

3. You then copy & paste the data into your PRS report, or utilise as required for your VAT breakdown by ticket price and quantity sold.

  • Great idea but it would be even better if the PRS rate can be added to each event so that the amount due is also shown.
    Can you let me know if this is something that might happen in the future.
