Exclude overseas customers from marketing communications

In this article, we will show you how to exclude overseas customers from marketing communications. When compiling a brochure mailout or email marketing list, you may want to be able to exclude overseas customers (who you suspect will not be returning to your venue). There are two ways to do this - either by adding these customers to a category or by giving these customers a specific tag. Either option will allow you to exclude this segment of customers from any Your Report you create for your mailout/email list. 

Option 1 - Create a Customer Category

First, go to Customers tab > Customer Categories.

To add a new category click Add New+ or click in the centre of the screen.

Then complete the following to add the Customer Category:

1. Type the name of the new category into the box, as in the image below.

2. Ensure the Active customer category? toggle is switched to on (blue).

3. Click the Add button.

Customers can be added to a category at the time of creating a customer record or retrospectively. Within the customer account, there is a dropdown menu called Select a customer category as seen below.

Setting up a Your Report and excluding a Customer Category

Now when you set up a marketing report you can exclude these customers. You just need to set up the report in Your Reports with the relevant filters.

First, go to Reports > Your Reports.

Click Add New at the right-hand side and select Report.

1. Name the report and select the folder you want the report to be in.

2. Select the Report type that you need.

3. Click Save.

Next we need to add in the customers of category filter.

1. Click Add New for a new filter.

2. Select the filter customers of category from the drop-down.

3. From the pop-up box tick to exclude the Customer Categories you want to report on.

4. Click the Save button in the bottom right-hand corner of the screen.

These customers will now be excluded from your report.

Option 2 - Use Tags to exclude customers

We can also exclude customers by adding a certain tag e.g. 'overseas'. 

You can either add the tag to a customer record when it is created or for existing records that need tagging in mass we need to create a Customer Facts Report.

Add a Tag to the Customer Records

In Reports > Your Reports click on Add New.

1. Add a report title.

2. Select Customer Facts for report type.

3. Click Save.

Now let's add the filter.

1. Click Add New.

2. Search for Customer country.

3. Select that contains or matches exactly and enter the country you want to add to the report.

Next we are going to tag all these customers.

1. Click on the 3 dots for a dropdown menu.

2. Select Manage customers.

1. Click on the Tagging tab.

2. Either select an existing tag or +Add new tag

3. Enter the new tag name. This tag will then be added to the customers in this segment. 

4. Scroll down click Save.

We have now created a segment of customers with the tag 'france' which contains all our French customers.

Setting up a Your Report and excluding customers with a Tag

To exclude customers with this tag from the reports we create for marketing communications there are two steps.

We need to first bring the customers with tag into a report (Report A), and then create our marketing segment report (Report B) and exclude the customers in Report A (the overseas customers with the tag) from it. 

Create Report A (customers with Tag)

In Reports > Your Reports click on Add New.

1. Add a report title.

2. Select Customer Facts for report type.

3. Click Save.

Now let's add the filter.

1. Click Add New.

2. Search for customers with tag > select to include the Tag you have just given the overseas customers, in this example 'france'.

4. Click Save.

We've now got all our French customers in Report A so we can easily exclude them from marketing segments.

Create Report B (our marketing segment excluding customers with Tag)

Now we need to create our marketing segment report and exclude our French customers because we don't want to send them marketing communications.

In Reports > Your Reports click on Add New.

1. Add a report title.

2. Select Customer Facts or Line Items Facts for report type.

3. Click Save.

1. Click Add New.

2. Search for  the filter based on customers in.

3. Select to exclude the Report A that we just created.

4. Click Save.

Add in any other relevant marketing filters like opted in for emaillast purchased etc.

You have now created a report which does not contain any customers from France. You can modify to exclude any country or region.
