In this article, we'll explore Product reporting and how it reveals insights into customers' product purchases and donations. We'll cover reporting on Add-on product sales with the Customer List, and compare the Product Sales Detail and Product Summary Sales Reports for tracking sales. Additionally, we'll discuss reporting on tagged donations with the Donations Gift Aid List Sales Report.
Reporting on Add-ons using the Customer List
When a Product is sold along with a ticket, often through the Product Prompts feature, the Customer List for the Event can be used to display which Products were purchased, and by which customers, alongside their Event tickets.
To load the Customer List from the Box Office:
1. Click on the Event Summary (calendar) icon on the event listing, underneath the View Tickets button.
2. You will now be in the Events Dashboard.
3. On the right-hand side click on View / Print Lists and select the Customer List report. You can download it as a CSV or PDF, or press the 'eye' icon to load it in a new browser tab.
In the Customer List we can now see the customer details, tickets purchased, and - importantly - products sold along with the ticket(s) under the Add ons column.
This report can then be used to prepare any pre-show drinks at the bar or merchandise for customers to collect on arrival, or to give you an idea of what sales you have made as Product Add ons for a specific event.
Important
Orders that contain tickets for multiple Events along with a Product: Be aware that when a customer has tickets for multiple Events and one Product in the same order, each associated Event's Customer List will include the purchased Product.
So if a customer buys:
- 1 x ticket to Event 1
- 1 x ticket to Event 2
- 1 x Bottle of Prosecco (Product)
The Bottle of Prosecco product will be listed under the Add ons column on the Customer Lists for both Event 1 and Event 2. So just be mindful of this when you are reporting in this way.
Product Sales Detail
The Product Sales Detail Report is run on sales date range and can be filtered by a specific Product tag if required.
The Product Sales Detail report will give you a breakdown of every individual order that contains a product. The report contains:
- Customer name
- Customer email address
- Customer postal address
- Customer number
- Order number
- Date of order
- Product name
- Product price
- Quantity
- Discount
- Total price of product(s)
Ticketsolve Tip
We'd recommend using this report if you need a breakdown of every product sold per order, or if you need to get the contact details of all customers who purchased a certain product.
To run the Product Sales Detail report go to Reports > Sales Reports > Product Sales Detail.
Ensure you have selected the format you want the report to be in such as HTML just to view in a new browser tab, or to download as CSV, PDF or XLS (excel).
1. Enter the date you want to report on Product sales From.
2. Enter the end date you want to report on Product sales To.
3. Enter a tag related to the product(s) if you want to filter the report, such as ‘totebag’.
4. Click Generate Report.
You can also click Save As.. to save the report so that you don't need to enter the dates and tags each time you want to view the same report. This will be saved in the Saved Reports tab of Product Sales Details.
Product Sales Summary
This report lists Products sold by date range, you can filter by location and product tag.
This report contains:
- Product Name
- Number of Items
- Price
- Total
- Credit Card Charges
- Discount
- Taxes
Ticketsolve Tip
We'd recommend using this report if you need a quick way to view the total sold on each product type, this report is often used by accounts departments.
First go to Reports > Sales Reports > Product Sales Summary.
Ensure you have selected the format you want the report to be in such as HTML just to view or to down as CSV, PDF or XLS (excel).
1. Enter the date you want to report on Product sales From.
2. Enter the end date you want to report on Product sales To.
3. Select location, you can leave at All Locations or specify a particular venue/box office.
3. Enter a tag related to the product(s) if you want to filter the report, such as ‘totebag’ or leave blank to view all products.
4. Click Generate Report.
You can also click Save As.. to save the report so that you don't need to enter the dates and tags each time you want to view the same report. This will be saved in the Saved Reports tab of Product Sales Details.
Donations Gift Aid List Report
This report lists donation products sold with a tag (ie giftaid, donation) over a date range. While it defaults to the Gift Aid tag you can use this on other donation products by entering the respective tag.
The report shows:
- Customer name
- Customer postal address
- Organization
- Donation Product
- Donation Date
- Donation Amount
- Order Type
- Tags
Go to Reports > Sales Reports > Donations Gift Aid List Report.
Ensure you have selected the format you want the report to be in such as HTML just to view or to down as CSV, PDF or XLS (excel).
1. Enter the date you want to report on Product sales From.
2. Enter the end date you want to report on Product sales To.
3. Enter a tag related to the product(s) if you want to filter the report, such as ‘giftaid’.
