In this article, we will explore how to create and report on Promo codes. Promo codes are a valuable part of your marketing toolbox and a great way to offer customers exclusivity. With Ticketsolve, you can create either personalised promo codes for individual customers, or universal codes. While there are endless ways to set up your codes, for example, straightforward discounts (e.g., 10% discount on all tickets bought in August) or group discounts, which allow individual bookings - all Promo codes are set up by creating a Discount.
Ticketsolve Tip
If you don't see the Promotion Code box on your Ticketsolve website, you'll need to enable the "discounts_available" setting.
Creating the Discount
First, we need to create the discount.
Go to Manage > Discounts
Click on Add New+
1. Enter a distinctive name for your offer, such as 'August Promotion'.
2. Add a Description (optional).
3. Turn the Active discount? toggle to on (blue) to make it active.
4. Select the Start date for your promotion.
5. Select the End date for your promotion.
6. Add the Priority number (optional), 99 being the highest and 0 being the lowest.
Important
Only one Discount can be used in a transaction and the offer with the highest Priority will apply. If you have multiple Discounts available and/or more than one Discount is applicable they are applied in priority order (descending from 99). A line item in the cart can only have one Discount at a time.
7. Add a Tag to easily identify your offer in reports (optional). You should also enter your subdomain tag here if it applies.
8. Click the Save New button.
Setting the Discount Rules for Promo codes
Ticketsolve Tip
You may want to restrict the use of the promo code to specific ticket types or allocations such as full price tickets only.
Now we need to set the Rules on the Discount to apply to Promo codes. These are broken into two sections When customer...and Customer gets...
To begin, click on the Rules tab in the Discount you wish to use.
Set the Rules for When Customer...
1. In the When customer... section, click the +Add New button.
2. In the Add new rule pop-up, select Use promotion code from the Select condition type dropdown.
3. Click Save.
Set the Rules for Customer gets...
Now we can set what the customer gets when they use the promo code. There are a variety of options you can set here, but for our 'August Promotion' example, we are going to set our discount as:
- 10% off every ticket any number of times
- Only for the month of August (as set in the date range on the Details tab of the discount)
To begin, in the Customer gets... section, click the +Add New button. In the pop-up select from the dropdown menus:
1. Select access type: All (options include: All, Exactly, or Exclusive access). You can check out our guide for more information about different access types and Discount examples.
2. Select item type: tickets for (choose where the discount applies, tickets, products, unique shows or unique events).
3. Select in...: any show (specify by show, event, programme, ticket allocation, event category or with specific tags in show, event, allocation etc.).
4. Define Pricing: at any price (limit prices with a tag or a select pricing scheme if you wish).
5. Define Discount Amount: with percent off (you can opt for an amount off or percentage off).
6. Enter the percentage amount: e.g., 10(%).
7. Define the Discount limit: any number of times (choose from any number of times, discount limit, purchase limit or show group limit).
8. Click Save.
With these promotion rules we can see:
When a customer uses a promotion code they will get access to all tickets for any shows at any price and will get a 10% discount any number of times.
Discount and Purchase limits
Discount and Purchase limits generally only work when you are giving a unique promotion code to each customer, or setting up a discount for a Benefit Product. If you are using one promotion code for all customers, contact Ticketsolve Support to check if your set up will work correctly.
Discount limit is the number of tickets that will be discounted per promotion code, per show/event/show with tag/ticket allocation specific in the discount rule.
Example:
- Customer gets > All tickets for > Show with tag > With amount off 10% > With a discount limit of 2.
- This means that for every Promotion Code, 2 tickets per Show with Tag will be discounted by 10%. 3 or more tickets per Show with Tag can be purchased, but only 2 per Show with Tag will be discounted.
Purchase limit is the number of tickets that can be purchased per promotion code, per show/event/show with tag/ticket allocation specific in the discount rule.
Example:
- Customer gets > All tickets for > Ticket allocation with tag > With amount off 20% > With a purchase limit of 3.
- This means that for every Promotion Code, 3 tickets per Ticket Allocation with Tag can be purchased and discounted by 20%. No more than 3 tickets per Ticket Allocation with Tag can be purchased at all using that promotion code, even at full price.
Generating Promo codes
Once the discount and rules are set up, you can create manual or system-generated Promo codes.
Manual input Promo codes
1. Select the Promotion codes tab on the Discount you wish to use.
2. Click +Add new promo code.
3. Select Manual input.
4. Type or paste your code into the box. Use commas or a line break to separate multiple codes.
5. Select Save.
Ticketsolve Tip
Codes are not case-sensitive and have a 16-character limit. Try not to use a code that is easily guessable such as AUGUST or 2023 to avoid misuse.
In the Promotion codes tab, you will now see a list of Promo codes with details:
- Promotion Code: Specific promo code.
- Created On: Date the promo code was created.
- Used?: If the code has been used at least once a tick will show in this column.
- Claimed by: Name of customer that claimed the code
- Active?: Toggle will be on (blue) if this is an active code and greyed if inactive.
- Additional options icon (3 dots): Click the icon (or the Promo code itself) to Delete code or Copy promo code. Note: If the code has been used, you can select View usage for more info.
Above the Promo code details, you will see 3 icons:
- Refresh: Click to refresh the screen if required.
- Download CSV: Download a csv file of the Promo codes to send to customers.
- + Add new promo code: Add more Promo codes.
System Generated Promo codes
The system can generate unique codes for you with an optional set prefix. To begin:
1. Select the Promotion codes tab on the Discount you wish to use.
2. Click +Add new promo code.
3. Select Generate codes in the pop-up.
4. Enter the number of codes you wish to create in the How many codes you wish to generate section. In our example, we entered '10' to create 10 codes.
5. Add in a Code prefix (optional and not case sensitive). Setting the Code Prefix is helpful if you want to bundle codes, for example "Aug" for an August promo. In our example, we have set the prefix to THT.
6. Enter the Length of code needed. This is the number of characters that will come after the the Prefix (min 4 to a max of 16 characters).
7. Click Save.
In the Promotion codes tab, you will see a list of Promo codes with details:
- Promotion Code: Specific promo code.
- Created On: Date the promo code was created.
- Used?: If the code has been used at least once a tick will show in this column.
- Claimed by: Name of customer that claimed the code
- Active?: Toggle will be on (blue) if this is an active code and greyed if inactive.
- Additional options icon (3 dots): Click the icon (or the Promo code itself) to Delete code or Copy promo code. Note: If the code has been used, you can select View usage for more info.
Above the Promo code details, you will see 3 icons:

Reporting on Promo code usage
While you can view Promo code usage in the Discount section, you can also run a simple report.
Go to Reports > Sales Reports
1. Search for and select the report Promotion Codes Discounts.
2. Select report format for your report, HTML to view, or CSV, PDF, and XLS to download.
3. Set the date range From as the start date of your code usage. In this example, 1 January 2022 to get a full year report.
4. Set the date range To as the end date of code usage. In this example, 31 December 2022.
5. Select the Program or No Program as required.
6. Select the Show or All Shows as required.
7. Select the Run or All Runs as required.
8. Select the Event or All Events as required.
9. Click Generate Report.
The Promotion Codes Discounts Report details:
- Show Name
- Event Day
- Number of tickets (Tickets #)
- Price Name
- Discount Name
- Promotion Code
- Discount Amount
- Total
Promo codes can not be added to a reservation, they must be added when payment is being added or when using "allow checkout with outstanding amount".
