Importing Third-Party Tickets into Ticketsolve for Scanning

You can import tickets and QR codes from third-party systems, like Ticketmaster, See Tickets, or even other Ticketsolve venues, directly into your Ticketsolve account with a quick CSV upload. This means those tickets are ready to scan on event day, giving you one seamless check-in process and everything neatly managed in one place.

Before you import (pre-checks)

Before importing the codes, there are a few steps to be undertaken:

  • Create an Imported Checkin Code Product for each type of imported ticket
  • Create a generic Customer Record for all the imported tickets to be assigned to
  • Prepare your CSV file in the correct format
  • If importing Ticketmaster codes, ensure that the codes are not revolving barcodes - these cannot be imported

Create an Imported Checkin Code Product

You'll need to create an Imported Checkin Code Product for your imported codes to be linked to. We'd recommend making one product per provider, e.g. a 'Ticketmaster Codes' product, a 'See Tickets Codes' product, etc.

1. In Ticketsolve, head to Manage > Products.

2. Click +Add New to create a new product.

3. Select Imported Checkin Code Product from the product type dropdown.

4. Give the product a clear name like 'Ticketmaster Codes'. 

5. Set the price as 0.

6. Make sure that the Active product? toggle is on.

Create a Customer Record

Next, you'll need a generic Customer Record for the imported codes to be assigned to. Again, we'd recommend making one customer per provider, e.g. a 'Ticketmaster Purchase' customer, so that it's easy to identify where the original codes have come from when scanning them in.

  1. Go to Customers > Search Customers.
  2. Click New Customer.
  3. Give the customer a clear name like 'Ticketmaster Purchase'.
  4. Complete any other required fields with generic/venue details.
  5. Click Add New Customer to save.

 Ticketsolve Tip

Add a tag or customer category like 'external_scanning' to these customers so you can easily exclude (or include) them when running Your Reports in the future.

Prepare your CSV file

The CSV of codes you upload must be formatted in a specific way for the import to work correctly. This will vary depending on where the CSV has come from.

Ticketmaster and See Tickets

If you’re importing from Ticketmaster or See, you’ll get the CSV directly from the seller, and it should already be in the right format. It'll look something like this, with columns containing event details, barcode, ticket details, and customer details:

Please note that Ticketmaster's revolving barcodes cannot be imported.

Other Imports

For other imports, such as other third-party sellers or Ticketsolve venues you're working with, you'll need to edit your CSV to follow the required format.

Make sure your CSV follows this format (headers in bold) and includes all the headers. If you don't have information available for a header, leave it blank.

  • Barcode: The unique ticket barcode or QR code

  • Name: Customer name (e.g. John Doe)

  • Event: Name of the event

  • Ticket: This could include details such as price type, section, row, seat, etc.

  • Note: Extra info, e.g. event date and time

 Important

The file must be a CSV (.csv) Make sure you are saving the file as a CSV (Comma Delimited .csv) file. Excel workbooks (like .xlsx or .xls) or similar will not upload.

Uploading the CSV

With the above steps completed, you're now ready to upload your CSV and import the codes for scanning!

 Important

Ensure Sales Sessions are optional If your Ticketsolve account has the General Setting setting "sales session optional" disabled (unticked), meaning that sales sessions are required, you will need to enable the setting (ticked) to make sales sessions optional whilst you upload the CSV. Once you have uploaded the CSV you can then untick it again, so that sales sessions are required.

1. Head to Manage > Shows > Runs > Event and select the event date & time the codes are for.

2. Go across to the Import 3rd Party Tickets tab.

3. Select the Source from the dropdown -  choose from Ticketmaster, See, or Generic (this is anything other than Ticketmaster or See Tickets).

4. Select the Regular Product you set up earlier, e.g. Ticketmaster Codes.

5. Select the Customer Record you created earlier, e.g. Ticketmaster Purchase.

6. Drag in or select your CSV file (make sure it is a .csv file and not an .xls file).

7. Click Import Checkin Codes to start the import.

8. While the upload is running, you can carry on with other tasks as long as you keep the tab open - Ticketsolve will send you a system notification when it’s finished.

Verify the import

To confirm everything went smoothly:

1. Go to Box Office > Search Orders to look up your imported codes.

2. The imported codes should be listed in the orders under the product name, e.g. Ticketmaster Codes and assigned to the customer, e.g. Ticketmaster Purchases.

Sharing codes between Ticketsolve accounts

One option with this tool is to share tickets and QR codes between Ticketsolve accounts. For example, if a Ticketsolve user is running a festival and selling tickets for an event at your venue, and you want to import the codes to your account for scanning on event night.

Downloading tickets and QR Codes to share

We recommend using the Attendance List, which is found in the Events Dashboard.

1. Go to Box Office > find your Event.

2. Click into the Events Dashboard.

3. Click on View/Print Lists.

4. Find the Attendance List report and select the CSV option.

5. Once your CSV has downloaded, you'll need to sort it into the correct format and headers as detailed above. Make sure that all headers are present and all cells have content.

If you're using the Attendance List, you'll need to:

  • Rename the 'CheckinCode' column to 'Barcode'.
  • Rename the 'Allocation' column to 'Ticket'. (Note that only the allocation details and not individual seat details are included in this report, so they won't pull through to the imported codes unless you manually add them into this column.)
  • Add in an 'Event' column and content to all cells, like the event name, e.g. 'Aladdin'. The content and format here don't matter, as long as there is something.)
  • Add in a 'Note' column and content to all cells, like the event date, e.g. '15-DEC-25'. (The content and format here don't matter, as long as there is something.)
  • Delete unnecessary columns

Scanning imported codes

When you are ready to scan the imported codes, go to the Check-in App as normal.  You can scan for an Individual Event or use Free Scan Mode.

 Important

If you need to manually toggle in imported tickets, find them in Free Scan Mode Tickets that have been imported will not be listed under the event's orders in the Check-in App, meaning that to check them in, you need to go to Free Scan Mode, search for them, and then toggle in.

When an imported ticket is scanned, you'll see something like the following, containing the information from your CSV:
